Background
The consultancy as administrative assistant is located in the Sexual and Reproductive Health Branch of the Technical Division. The consultant will report to the Head of the Secretariat for the Progress Study on Youth, Peace and Security, while working in close coordination with the Head of the joint UNFPA/PBSO Secretariat for the Progress Study on Youth, Peace and Security. She/he will serve as the primary administrative support for the Secretariat for the Study and will provide general administrative support to the Secretariat.
Main Tasks and Responsibilities
Prepare travel authorizations and make travel arrangements related to the Study, in particular for Secretariat staff and for the experts from the Advisory Group;
Assist in designing the work of implementing partners, including support to drafting workplans, FACE forms and other documents related to implementing partners;
Assist in developing terms of reference for researchers and consultants, and support contracting processes;
Raise requisitions, prepare purchase orders, and ensure the timely processing of payments to vendors;
Provide logistical and administrative support and follow-up for substantive meetings organized by the Secretariat, including hospitality/catering;
Organize audio and video conferences and webinars;
Assist in gathering and compiling data and information for the preparation of documents and background papers using website or content searches by selected themes;
Maintain an office filing system and assist in archiving;
Provide back-up support to administrative functions of the SRH Branch as required;
Carry out any other duties as may be required by the Secretariat for the Progress Study on Youth, Peace and Security;
Work Relations
The consultant will provide critical support to the Secretariat for the Progress Study on Youth, Peace and Security, working in close collaboration with internal partners include MIS, to resolve Atlas-related queries; Finance Branch, to resolve procurement and expenditure issues; DHR, for human resources related issues; Office of the Executive Director on policy, planning and management issues; and regional offices on regional and country issues; External partners, academic institutions, donors and NGOs.
Education and Qualifications
Completion of secondary school education;
Five years previous experience in administration and office support;
Excellent interpersonal and organizational skills;
Computer literacy - Microsoft office suite: Word, Excel, PowerPoint, etc.;
Knowledge of Atlas indispensable;
Good writing and communication skills;
Fluency in English is required.
Other Desirable Skills
