Intern Job Description: Event Planning

1.             Purpose:

The Event Planning Intern would be a self-starter able to assist the UNFPA HQ HR Strategic Partner and HR Analyst with workplace “Let’s Talk About…” event planning activities throughout spring and summer 2016. This is an outstanding opportunity for an individual interested in learning more about human resource workplace activities and event planning that encourages increased engagement, knowledge and interest. The internship offers exciting hands-on experience and the opportunity to gain new skills. The role sits in UNFPA’s Division of Human Resources in New York.

2.             Responsibilities:

-Solicit activity ideas, create and coordinate the drafting/distribution of promotional materials, and cover the logistics of the event.

-Handle guest registration, seating information and related data entry.

-Act as a liaison between the organization and speakers including negotiating pricing options to present to the organization.

-Act as a liaison between the organization and catering vendors including negotiating pricing options to present to the organization.

-Assist with ensuring special events content on UNFPA intranet site are communicated effectively.

-Assist with participant acknowledgement and guest follow-up.

-Plan and facilitate planning meetings including distributing agenda and taking minutes.

3.        Qualifications and competencies:

-Active enrolment or completion of a university programme, preferably with an interest in non-profit development and event planning

-Professional demeanor and etiquette

-A “can do” attitude and desire to learn

-Creative

-Ability to follow instructions and also work independently

-Firm grasp of available tools and platforms in the social media space

-Must be computer literate, including Internet research experience

-Ability to communicate in a professional manner with internal and external partners and stakeholders

-Self-motivated, good organizational and interpersonal skills

-Detail-oriented, ability to multitask, prioritize, and meet deadlines

-Enthusiasm for the mission of UNFPA and interest in workplace learning

-Previous internship, volunteer or related experience in event planning is a plus.

4.        The Intern will gain and/or improve upon his or her:

-Planning events and event execution skills

-General communication skills

-Understanding of inner workings of nonprofit organization

-Understanding how HR activities strengthens employee engagement and motivation

-Understanding of logistical support of special events

-Ability to work in a fast-paced, mission-driven organization

-General customer service skills

-Designing surveys to assess participant satisfaction with events, and analyzing results for event improvement

5.         Start Date:        April – July 2016

6.             Hours: Monday – Friday, full time

7.             Compensation: This is an unpaid/volunteer internship.
