The Position:

The Executive Associate is located in the Office of the Executive Director (OED) and provides a variety of executive administrative and logistical support to the Executive Director (ED), and in managing efficient flow of information and timely action.

The positions reports directly to the Chief of Staff, Office of the Executive Director.

Job Purpose:

As Executive Associate, you will play a vital role in ensuring the smooth functioning of the Office of the Executive Director. You will ensure confidentiality, maintenance of protocol and administrative procedures, as well as management of information flow and follow-up on deadlines and commitments made. You will provide various executive administrative and logistical services and liaise with internal and external stakeholders.

You will work in close collaboration with staff in the Office of the Executive Director, and build close relationships with internal stakeholders and counterparts and colleagues in the offices of external partners.ed by the ED or the Chief of Staff.

Qualifications and Experience

Education

  • Secondary education with supplemental training in office management, communication and computer literacy.

Knowledge and Experience:

  • A minimum of 7 years progressive administrative experience preferably in a large or international organization or corporation or with a CEO;
  • Knowledge of computer software packages including MS Word suite, web-based and calendar management systems;
  • Extended specialized experience in working in the diplomatic sector;

Languages:

  • Fluency in English; knowledge of other official UN languages, preferably French and/or Spanish, is desirable.
